When you join the priority list or newsletter, we may collect your name, email address, school or program, expected move-in term, consent choice, and submission date. Required and optional fields are identified on the form.
Submitted information is used to manage priority-list and newsletter requests, send project, design, suite, pricing, application, and opening updates, respond to questions, and prevent duplicate submissions.
Form submissions pass through the Sarnia Residence Vercel-hosted validation endpoint, are sent through Google Apps Script, and are stored in the connected Google Sheets workflow. The site also loads Google Fonts, Leaflet from jsDelivr, and Carto map tiles with OpenStreetMap attribution. Those providers and the hosting provider may receive technical request data such as an IP address, browser details, requested URL, and referrer under their own privacy practices. Information may be processed or stored outside Canada and may be accessible to authorities under the laws of that jurisdiction.
This website stores a one-way email hash and expiry time—not the submitted name, email, school, or term—in browser storage to prevent repeated submissions. That marker expires after 30 days. Priority-list and newsletter records are reviewed at least annually and are deleted when no longer needed for the stated purpose, upon a valid deletion or withdrawal request, or no later than 24 months after the last interaction unless a longer period is required by law. Hosting and service-provider logs follow the applicable provider settings and retention schedules.
Sarnia Residence uses access controls, same-origin server-side validation, rate limiting, encrypted HTTPS transport, restricted administrative access, and periodic record review. No internet transmission or storage system can be guaranteed completely secure.
You may choose not to submit optional fields. Marketing updates are sent only after express consent, and you may unsubscribe at any time using the instructions in an email or by contacting Sarnia Residence. Withdrawal does not affect handling that occurred before the withdrawal.
To ask what information is held, request access or correction, withdraw consent, request deletion, unsubscribe, or raise a complaint, contact the Privacy Officer at contact@sarniaresidence.com. Identity may need to be verified before a request is completed. If a concern is not resolved, you may contact the Office of the Privacy Commissioner of Canada.
